Searching for “the best email signature software” assumes there is one. In reality, the market splits into three families answering three distinct needs, and the first job is to identify yours. Comparing an individual generator with a fleet manager makes no more sense than comparing a word processor with a document management system.
This article describes families of tools and an evaluation method. It does not rank named vendors: product characteristics change, and only direct verification with each of them, at the date of your project, carries any value.
Family 1 — The individual generator
An online editor that produces an HTML block you install yourself in your email client.
What it does well: quickly produce a decent signature, often free of charge. Useful for a freelancer, a very small outfit, or to equip yourself with a mockup before taking a project internal.
Its limit: it stops at producing the block. No deployment, no synchronisation, no locking. Each person has to do the procedure, and nothing prevents divergence afterwards.

Family 2 — The fleet manager
A tool that applies the signature across the organisation, drawing on your directory.
What it brings: automatic application with no action from the employee, fields filled from the directory, granular locking, per-team templates, banner campaigns, statistics.
Its condition: it assumes a correctly filled directory and an initial deployment by IT.

Family 3 — The platforms’ native functions
Microsoft 365 and Google Workspace each offer a server-side footer mechanism.

Their limits: no per-employee custom field, minimal formatting, stacking in threads, a signature invisible to the sender, no campaign scheduling.

The most structuring criterion: architecture
Before price, before features, one question splits the tools into two groups: where is the signature inserted?
Client-side, while writing. The add-in writes into the current message. The sender sees their signature, it appears in sent items, the message leaves your tenant with no detour.
Server-side, after sending. The message is modified in transit. The sender sees nothing, threads stack blocks, and depending on the implementation, the message may travel through a third party’s infrastructure.

The evaluation method

Worth knowing: systematically ask for written answers on data location, access scope and reversibility. A vendor who answers readily out loud and drags their feet in writing is telling you what their support will be worth.
The economic calculation
